Canton Fair Interpreter Badges: the 140th Session (Autumn 2026) Accompanying-Personnel Rules, Section by Section
Whether your interpreter gets into the halls is decided by you, not by them. Applications for the 140th Canton Fair accompanying-personnel badge opened on 28 September 2026. Only the overseas buyer can file, and a new buyer must first finish their own pre-registration and Overseas Buyer Badge application; file at least 2 days ahead (attend on 15 October, file by 13 October); up to two companions per phase, one assistant and one interpreter, and an interpreter must submit a CATTI certificate, a NAETI certificate or a graduation certificate in a foreign language major from a higher education institution in the Chinese mainland; buyers from Hong Kong, Macao, Taiwan or on a Chinese passport may apply for an assistant only; RMB 300 a day plus a RMB 50 administrative fee, RMB 200 to replace a lost badge. The notice asks for the companion's resident identity card number and does not say what happens without one — ask the organiser in writing.

This is not legal advice, and whether a badge is issued is the organiser's decision. Every rule quoted here comes from the Canton Fair's official website; the only figures that come from us are our own interpreting rates in section 7, taken from our FAQ page, and the NAETI registration search in section 5, which we ran ourselves and date.
At the Canton Fair, a lot of overseas buyers do this: find an interpreter online, agree a day rate, and arrange to meet at the hall entrance on opening day. Then it falls apart — the interpreter cannot get in.
Whether your interpreter gets through the gate depends on you, not on them. Only the overseas buyer can initiate an application for an accompanying-personnel badge on the Canton Fair website; the accompanying person cannot. That rule is section I of Badge Application for Accompanying Personnel for Overseas Buyers of the 140th Canton Fair is Now Open, published on the Fair's website on 28 September 2026 — the most overlooked and most immediately damaging line in the whole process. The notice exists in official Chinese and official English. Every block quote below is the official English, verbatim; where it differs from the Chinese in wording or sentence breaks we say so, and where a real difference arises, the Chinese governs.
1. The 140th-session notice: open since 28 September
The 140th Canton Fair runs in Guangzhou from 15 October to 4 November 2026, in three phases. Applications for the overseas buyers' accompanying-personnel badge opened on 28 September; buyers scan the QR code in the notice and log in to the Buyer Service System. The notice has eight sections: eligible applicant, application deadline, types of accompanying personnel, quota, fee standard, badge application alert, restrictions on badge application, and a reminder on responsibility for attendance, followed by the Customer Service Center's phone numbers and email. Sections 2 to 8 below take them one by one.
Work out your dates first. Section II of the notice gives its own example: "if attendance is planned for October 15, the application must be submitted no later than October 13." By that arithmetic:

These are filing deadlines, not the day you hold a badge — the organiser still reviews each application, and the notice does not say how long that takes. Today, 4 October, Phase I opens in 11 days.
2. Your interpreter cannot apply; only you can
Section I, "Eligible Applicant", is four sentences in the official English (three in the Chinese; the difference is the English text's own sentence breaks):
Overseas buyers can initiate badge applications for accompanying personnel via the official Canton Fair website, and the application will be reviewed by the organizer. Accompanying personnel cannot initiate the application on their own. Regular buyers can apply for accompanying personnel directly. New buyers must first complete your pre-registration (https://buyer.cantonfair.org.cn)and submit the application for the Overseas Buyer Badge before submitting applications for accompanying personnel.
Two things follow.
First, the interpreter you found on a freelance platform, however experienced, has no way to obtain this badge themselves. The overseas buyer has to submit it, from their own account.
Second, a first-time buyer has to finish their own step first: complete your own pre-registration, submit your own Overseas Buyer Badge application, and only then add accompanying personnel. If you are not in Guangzhou yet, your account is not set up, or you plan to "sort it out when I arrive", your interpreter will most likely spend the day outside the hall. 3. Two gates to check before anything else
If either of these fails, nothing after it matters — yet both are easy to skip.
First, which kind of buyer you are. Section IV of the notice says buyers from Hong Kong, Macao and Taiwan, and buyers holding a Chinese passport, cannot apply for an interpreter and can only apply for an assistant (the text is in section 4 below). That does not leave you with no one: you can still apply for the assistant. But whether that assistant may interpret for you on the floor, the notice does not say; that is the organiser's call — do not assume it works.
Second, whether your companion has a PRC resident identity card number. The paragraph after section VIII is one sentence in the official Chinese and one in the official English:
To improve badge application efficiency, buyers are encouraged to complete their pre-registration in advance, contact their accompanying personnel, and have ready the required basic information, including the accompanying personnel’s mobile phone number and resident identity card number.
The notice does not say what happens if the accompanying person has no PRC resident identity card. If the person you want to bring is a foreign national, or from Hong Kong, Macao or Taiwan, and has no such card, ask the organiser in writing before you travel: the Canton Fair Customer Service Center, 4000-888-999 within China, (0086) 20-28888999 from abroad, info@cantonfair.org.cn (all three are printed at the end of the notice). Get the answer in writing. We will not answer for the organiser.
4. Two per phase, not two for the whole session
Section IV, "Quota", is two sentences in the official English and two in the Chinese:
Each buyer may apply for up to 2 accompanying personnel per phase, with a maximum of one interpreter and one assistant each. Buyers from the Hong Kong Special Administrative Region (SAR), the Macao SAR and the Taiwan region as well as those holding a Chinese passport are not eligible to apply for an interpreter badge and can only apply for an assistant badge.
Note "per phase" and "up to". The 140th session has three phases. Which exhibition zones fall in which phase is set out in Annex 1 to the Canton Fair's Announcement on Booth Applications for the Export Exhibition of the 140th China Import and Export Fair (5 May 2026; we found no official English version, so the title and the zone names below are our translation) — 54 export zones in all:

The changeover days between phases, 20–22 October and 28–30 October, are days when no phase is open (per the Announcement Inviting Exhibitors to the Trade Services Zone of the 140th Canton Fair, 4 September 2026).
If you need all three phases, that is three separate applications. And the assistant and the interpreter are two separate slots — you cannot apply for two interpreters.
5. Proof of interpreting qualification: the notice lists exactly three
Section III, "Types of Accompanying Personnel", is two sentences in the official English and two in the Chinese:
Accompanying personnel are divided into “assistants” and “interpreters.” Interpreters are additionally required to submit proof of translation qualifications (China Accreditation Test for Translators and Interpreters (CATTI), National Accreditation Examinations for Translators and Interpreters (NAETI), or a graduation certificate in a foreign language major from a higher education institution in the Chinese mainland).
Three items in the brackets, the last joined by "or", and neither the Chinese nor the English has an "etc." Read literally, it is a closed list — pick one of three — not a set of examples:
- a CATTI certificate;
- a NAETI certificate;
- a graduation certificate in a foreign language major from a higher education institution in the Chinese mainland.
One thing worth flagging: we could find no way to register for NAETI — it is not among the twenty exams listed under "exam registration" on the website of the Ministry of Education's Educational Examinations Authority (checked 16 September 2026). So in 2026 that item most likely means a certificate someone already holds; the exam still being run is CATTI, and the other route is the mainland graduation certificate. In that third item, "higher education institution" and "foreign language major" are two separate conditions; whether a given school or major counts is the organiser's call.
This is the real filter. Plenty of interpreters who work the Fair by the day speak fluently, but not every one of them can produce one of these three: an overseas degree is not from "a higher education institution in the Chinese mainland", and TEM-8, IELTS and TOEFL are not on the list. Fail to ask while you are agreeing the rate and you find out at the application stage, when it is too late. Whether any particular document is accepted rests with the organiser's review; we will not speak for it.
6. At least 2 calendar days ahead; there is no same-day option
Section II, "Application Deadline", is three sentences in the official English and two in the Chinese, and comes with its own example:
Applications should be submitted at least 2 days in advance. For example, if attendance is planned for October 15, the application must be submitted no later than October 13. Please plan the application timeline based on your attendance schedule.
The Chinese says calendar days (自然日), not working days, so weekends count. The official English drops the word "calendar" in its first sentence. But do not read that as two different deadlines — the next sentence works the example out with "must": attend on 15 October, file by 13 October, the same day the Chinese gives.
Section VI, "Badge Application Alert", is three sentences in the official English and three in the Chinese:
If the badge application record of an accompanying personnel from previous sessions shows irregularities, an alert will be triggered. Those who trigger the alert must submit additional supporting documents for review. Please pay attention to the system prompts when uploading materials.
The notice does not define "irregularities", and it does not say how long the extra review takes — we will not fill that in. All you can do is leave enough time.
7. The real cost: ¥300 a day on top of the day rate
Section V, "Fee Standard", is three sentences in the official English (two in the Chinese):
A fee of RMB 300 per day plus a RMB 50 administrative fee will be charged. Used badges are non-refundable (a badge is considered used once it has been scanned by entry gates).If a badge is lost, a replacement fee of RMB 200 per badge will be charged.
(The missing space after "gates)." is in the official text.) The definition in brackets deserves a second look: a badge counts as used once an entry gate has scanned it. Walk through the gate and that day's fee cannot be refunded. Lose the badge and the replacement is another RMB 200.
This money goes to the organiser, not the interpreter, so it is usually not in an interpreter's quote. Take us as the example: our FAQ page publishes consecutive and escort interpreting from ¥200 per hour or ¥800 per full day, depending on language pair and subject — that is the interpreter's fee, and the organiser's ¥300 a day for the badge comes on top.
Bring an interpreter for all three phases and the daily badge fee alone is 15 days × ¥300 = ¥4,500, plus administrative fees. The notice says only "a RMB 50 administrative fee"; it does not say whether that is charged once per person, once per phase or once per badge — if each phase means a new badge, that is three lots of ¥50, ¥4,650 in total, but that step is our arithmetic, not the notice's. 8. What gets an application rejected, or a badge confiscated
Section VII, "Restrictions on Badge Application", has two items of one sentence each, and they cover different ground:
i.For the same phase of the current session, individuals who have obtained an exhibitor badge or exhibitor representative badge are not eligible to apply for an accompanying personnel badge for that phase.
ii.Individuals who have obtained a service personnel badge (move-in/move-out badge of exhibitors and construction) for the current session, or whose exhibitor/exhibitor representative badge application was rejected, are not eligible to apply for an accompanying personnel badge for the current session.
Item i works by phase: someone holding an exhibitor or exhibitor representative badge in a phase cannot be your accompanying person in that phase — another phase may still be possible. Item ii works by session: anyone who has obtained a service personnel (move-in/move-out) badge, or whose exhibitor or exhibitor representative application was rejected, is out for the whole session.
On faked relationships, the first paragraph of section VIII, "Reminder on Responsibility for Attendance", is three sentences in the official English (one in the Chinese):
Buyers and their accompanying personnel must ensure a genuine accompanying relationship. Failure to do so may result in the organizer confiscating the Canton Fair badges of both the buyer and the accompanying personnel and requiring them to leave the venue. In addition, the individuals involved may be placed on the Canton Fair badge application blacklist in accordance with the Measures for Handling Violations by Personnel and Vehicles at the China Import and Export Fair (Trial), and no refund will be given for the confiscated badges.
Some agents will suggest "attaching" a stranger to your account as your assistant so they can get a badge. That is not a small thing for you: the application goes in under your buyer account, and by the sentences above, confiscation, removal and the blacklist reach both the buyer and the accompanying person.
One more thing to say plainly: the notice requires "a genuine accompanying relationship" but does not define it. What we sell is a commercially hired interpreter. Where the organiser draws that line, we do not know; if it matters to you, ask the organiser before you file (phone and email in section 3), and get the answer in writing.
9. Four things to ask your interpreter for now
While you are agreeing the rate, settle these four:
- The exact name and number of the qualification — CATTI, at what level and in which language, or a mainland graduation certificate in a foreign-language major, and from which institution? See the document or a photo of it; do not settle for a verbal assurance. Overseas degrees and language-test scores are not among the three items in the notice.
- Whether they hold a PRC resident identity card — the notice asks you to have the companion's card number ready; if they have none, ask the organiser in writing first, as in section 3.
- Whether they have obtained any other badge this session, or had an application rejected — anyone who has obtained a service personnel (move-in/move-out) badge, or whose exhibitor or exhibitor representative application was rejected, cannot get an accompanying-personnel badge this session.
- Which phases they plan to cover for you — quote by phase and apply by phase; do not assume "the whole session counts once".
10. You are already in Guangzhou and your interpreter has no badge
To be clear first: the notice has no remedy written in for you — no express lane, no on-the-spot issue. But there are routes:
- If days remain, the normal route still works. The deadline is "at least 2 days in advance" of attendance, not of opening day. Land on 15 October, file the same day, and the earliest day you can cover is 17 October — the last three days of Phase I. Whether the review is done in time is the organiser's decision. A first-time buyer must first finish their own pre-registration and Overseas Buyer Badge application before the accompanying-personnel application is open to them (section 2).
- The organiser sells interpreting inside the halls itself. The Canton Fair Buyer Service Centre states: "We provide interpretation service inside the Canton Fair Complex during opening hours of the Fair." Languages: English, French, Spanish, Portuguese, Italian, Russian, Japanese, Arabic, Korean, German. English is CNY 600 a day for a booth interpreter and CNY 800 for an exhibition escort interpreter; other languages CNY 800 and CNY 1,000; under four hours is charged as half a day; payment in CNY on site at the Buyer Service Centre in Area A, B, C or D. Before the Fair (30 September – 14 October) book on (020)8913-8055 or ISC@cantonfair.org.cn; during the Fair, at the Buyer Service Centre counters in the halls. The English page adds: "Please note that the number of the interpreters is limited; first come, first served.We recommend making your reservation as early as possible!" — the Chinese page has only the first half, without the recommendation to book early. The page shows no publication date (Canton Fair website, Canton Fair Interpretation Service, checked 4 October 2026). Whether those interpreters need you to apply for an accompanying-personnel badge, the page does not say; ask the Buyer Service Centre when you book.
- The qualification requirement attaches only to the "interpreter" slot — but do not file someone without one of the three qualifications as an "assistant" so they can interpret. The notice requires a genuine accompanying relationship, and it does not say whether an assistant may interpret on the floor. That can only be asked of the organiser, in writing, before you file; it is the organiser's decision, not ours: 4000-888-999 within China, (0086) 20-28888999 from abroad, info@cantonfair.org.cn.
- Outside the halls, this badge does not apply. Factory visits, negotiations at your hotel, dinners and follow-up after the Fair need no accompanying-personnel badge. On the days your interpreter cannot get in, meet your key suppliers outside the halls — a fallback you can use the same day, provided the supplier agrees to receive you that day, which only the supplier can confirm.
- Do not hire a "fixer". The application goes in under your buyer account; under section VIII, if it goes wrong, both your badge and your companion's can be confiscated, you can both be asked to leave, and you can both be blacklisted.
11. In one line
Taking your own interpreter into the Canton Fair is not "find someone and you're done"; it is "find someone who can actually be badged". Your own buyer application finished first, the interpreter's resident identity card number, one of the three qualifications, at least 2 calendar days' notice, up to 2 people per phase, ¥300 a day — if any one link fails, the person does not get in.
